With Logitech Room-as-a-Service, SBB equipped 600 meeting rooms with standardized video collaboration technology and simplified room management.

Challenge

Decentralized Structures Limit Modern Collaboration

Before the project began, SBB’s meeting rooms were managed and operated in a decentralized way. Different locations, buildings, and responsibilities resulted in a historically grown, heterogeneous meeting room landscape. Equipment, technical standards, and user interfaces varied significantly, leading to an inconsistent user experience for employees.

At the same time, many systems remained in operation for long periods – some for as long as ten to twelve years. Hardware failures, replacements, and technical adjustments caused considerable operational and administrative effort. Service and support processes were complex, location-dependent, and difficult to scale. Overall, this structure made it challenging to evolve the meeting room infrastructure efficiently and in a future-proof way. 

The Need for Standardization, Scalability, and Cost Control

Against this backdrop, SBB was looking for a solution that would consistently standardize its meeting rooms while remaining scalable across locations. The goal was to create a uniform foundation without limiting flexibility for different room sizes and usage scenarios.

In addition, high upfront investments were to be avoided and replaced by a clear, predictable long-term cost structure. Meeting room technology needed to stay up to date without recurring, disruptive replacement or modernization projects. SBB therefore sought a model that combines technological progress, financial predictability, and operational efficiency.

Solution

A New Approach: Room-as-a-Service with Logitech 

Instead of pursuing a traditional hardware purchasing model, SBB opted for a forwardlooking Room-as-a-Service approach. Together with Logitech and the AV integrator Auviso, a joint usage-based service model was implemented in which meeting rooms are no longer treated as one-time investments but delivered as a comprehensive service.

Under this model, meeting rooms are provided as a complete solution. The technical equipment remains off SBB’s balance sheet and is delivered through a fixed monthly fee that ensures long-term cost transparency and planning security. Installation, operation, maintenance backed up through a Logitech partner support model, and hardware refresh are fully included in the service. A financing partner enabled the model by pre-financing the hardware over a five-year contract term. This approach allowed SBB to modernize its entire meeting room landscape without disruptive replacement projects or complex investment decisions. Instead, the organization benefits from continuously up-to-date meeting rooms and a clearly structured, service-oriented collaboration strategy.

Standardized Rooms, Consistent User Experiences

To ensure efficiency, scalability, and ease of use, SBB defined a strict standardization strategy for its meeting rooms. Clearly defined setups were introduced based on room size: Small rooms were equipped with the Rally Bar Mini and Logitech Tap, while medium and large rooms use the Rally Bar combined with additional microphones and Logitech Tap. 

All meeting rooms now follow the same operating and usage concept – regardless of location. For employees, this means intuitive use without the need to adapt from room to room, significantly reduced training requirements, and high acceptance in daily work. At the same time, standardization enabled a faster rollout and greatly simplified support and service processes. 

Centralized device management is handled via Logitech Sync, allowing all meeting room systems to be monitored, managed, and updated across locations. This provides transparency and further reduces operational effort.

Results

Scalable Modernization with Predictable Costs

As a result, SBB successfully modernized and standardized approximately 600 meeting rooms. Although the project was originally planned for five years, implementation was completed after just three years. Today, SBB benefits from a clear, transparent, and long-term predictable cost structure that simplifies budgeting and provides investment security.

The service-based model significantly reduced operational and administrative effort. Maintenance, operation, and technology updates now take place continuously without disruptive replacement projects. At the same time, employees have access to modern, reliable, and consistently easy-to-use meeting rooms at all times – resulting in high end-user adoption.
