Rethinking Public Sector Workspaces

How AI and evolving technology expectations are reshaping workspace decisions across government and higher education.

Across government and higher education, AI is becoming part of daily activities, helping people find and summarize information faster, automate routine tasks, analyze information and spend more time on higher-value priorities. In April 2026, the U.S. Government Accountability Office reported that federal agencies had more than doubled their use of AI from 2023 to 2024 and continued acquiring additional AI capabilities through fiscal year 2025.¹

AI is also becoming part of team meetings. AI-powered capabilities can capture notes and action items, summarize conversations, translate captions and help participants catch up on discussions they missed. As these capabilities become more common, expectations for the technology and spaces around people are changing too.

Research conducted by Market Connections and sponsored by Logitech found that 62% of federal technology leaders say shared workspaces are not adequately equipped for hybrid collaboration. Half report frequent IT support needs simply to start or join meetings, while 40% say remote attendees struggle to be fully included.²

As AI becomes embedded in everyday workflows, people will increasingly expect the capabilities to carry with them into meeting rooms, classrooms and shared spaces. 

For IT leaders, that raises a practical question: Are personal and team workspaces ready to keep pace with the capabilities organizations are putting in place?

Start with the Individual Workspace

For many people, the individual workspace is where new AI and productivity capabilities become part of their day. It is where they find information, create and analyze content, communicate and collaborate.

The experience still depends on the technology people use to interact with it. Webcams and headsets help people communicate clearly and participate fully, while keyboards and mice can make navigating digital workflows more comfortable and efficient.

One configuration, however, will not fit every role. An analyst working primarily from an office may have different needs than a faculty member, administrator or someone moving between locations.

In these spaces, the experience still depends on being able to connect easily, see and hear one another clearly, share information and fully include people joining from other locations.

For IT leaders, the opportunity is to build environments that can evolve with those changing expectations. That means considering the entire experience, from individual workspaces to shared environments, while balancing usability, manageability, compliance and long-term investment.
